What is Reach Conference?

Reach Conference is the #1 global gaming and adjacent conference that is run by Christians. Imagine the Chick-Fil-A of gaming, where we deliver the most delicious gamer sandwich. It just happens to be run by Christians. It is a place for us who have a love for gaming, cosplay and streaming to come together for fun, fellowship, and knowledge. To go from URL to IRL.

What happens at Reach Conference?

Reach Conference is a place that has gaming, cosplay contests, full sized concerts, multiple game shows, food, industry speakers, vendors, and so much more. Over 30+ activities across 3 days running 10-12 hours per day across 4 buildings.

Where is Reach Conference held?

Reach conference is held at 1815 FL-436, Winter Park, FL 32792, USA the first week of November (Thursday-Saturday).

Who are the organizers of Reach Conference?

The organizers of Reach are Romans and Aki plus the ReachConf team.

What is the Lan Center? Is the Lan center a good place for streaming?

No LAN Center for 2026 as we have over 20 Game Devs showing their games. Currently, no streaming inside any of the buildings will be allowed.

Do I need to be a streamer to go to Reach Conference?

No you do not need to be a streamer to come to Reach Conference.

Can I meet up with my community?

Yes! You can plan a community meet up while at Reach. We will have tents and tables set up outside for people to meet up at and hang out around. The Discord is the place to see these community led events happening throughout Reach.

Is there an age limit to attend Reach Conference?

There isn’t an age restriction. However everyone under the age of 18 must be accompanied by a parent/guardian. This conference is geared towards adults with the average age of 30.

What does parking look like?

The venue has ample parking across the campus. All first come, first serve. We do not expect parking issues for ReachConf 2026.

How and where do we find the schedule during & at the conference?

The schedule can be found on Eventbrite. During the conference, Discord has all the latest changes and events. There will also be a QR code on your badge to find the Discord. We do not hand out paper schedules.

How do I receive notifications about schedule changes during Reach Conference?

The discord server will always have the latest information.

How does one sign up to be a vendor at Reach Conference?

Message Romans in the Discord to be vetted.

What is Reach Conference view on AI?

AI is disrupting every industry and LLMs have been around for decades, every app you use is training AI whether ethical or not. Reach does not use the spicier sides of AI but there is a chance some Reach Creators do. Always be kind online, assume the best in people, and practice common sense when using AI.

What if I lose my lanyard and badge?

If we have extra basic lanyards, one will be given but access to paid extra features will not be allowed without your original lanyard.

Food

Is food provided at Reach Conference?

Two special food passes (VIP and 100G) have food included. If you do not have either pass, food is not provided. On Day 1, there are up to 100 “VIP” upgrades available for $100. See Romans to upgrade and it is first come, first serve.

Is there food for people with diet limitations?

If you have one of the two special food passes, there is a chance we can accommodate but it is NOT guaranteed. If there’s a concern please let the Food Service Team know and there is a chance we may have something that works. Personal responsibility is expected here to take care of any special needs.

If I did not get the VIP nor 100G food pass, is there a way to buy food at Reach Conference?

No, not onsite at the conference. You will have to leave campus or pack food to carry around as you need it. There are a lot of fast food venues and restaurants offsite. If you chose lodging that includes a kitchen, there are local grocery stores (i.e. Publix, Whole Foods, Costco, Walmart) to plan ahead. On Day 1, there are up to 100 “VIP” upgrades available for $100. See Romans to upgrade and it is first come, first serve.

Tickets

How do I check in with my ticket?

Have your email with the QR code ready to scan from Eventbrite for the fastest check in. Head to the Registration Tent which is set up outside the main entrance the morning of Day 1. After the morning rush you will find it inside the WC building for the remainder of the conference.

What type of IDs are acceptable?

Government Official ID’s such as: Drivers License, Identification Card, Passport.

Are there any restrictions to attend Reach Conference?

Reach Conference is open to all ages, but ticket buyers MUST be 18+. A person under 18 years of age is considered a minor and must be accompanied by their parent/legal guardian to attend Reach Conference. That adult must have their own Reach Conference ticket. If you would like to purchase a ticket for your child that is a minor, please make sure to purchase your tickets together at check out.

What age do kids need a ticket at?

A child 3 years of age or older will need to have a ticket purchased for them. Reach Conference is not a children’s event so they are welcome but do not leave anyone under 18 unsupervised.

What name is going to be on my badge?

It can be either your real name or your username. Choose a place on the badge to do so.

Do tickets sell out for the Reach Conference?

Yes, Reach does have a ticket limit. The soft cap is 750, the hard cap is up to 1000.

Meet & Greets

Does Reach Conference have meet and greets?

Meet and Greets are requested by the Reach Content Creators on a first come, first serve basis. The Day 1 Icebreakers is the most popular time followed by the Cosplay Competitions.

How do Meet and greets work for Vtubers?

At the option of the Vtuber to join in. Personal responsibility of the Vtuber if they choose a digital only solution.

Safety & Accessibility

Must badges and lanyards be worn at all times?

If you have yet to register, head to the Registration desk to pick up your lanyard and badge. This is an adult conference, take personal responsibility to comply with wearing your badge and lanyard at all times. Anyone for any reason may be escorted off the premises as determined by Reach Conference for any reason. If you forgot your badge and lanyard back at your lodging, take personal responsibility to go back and return.

Can I bring my medication or medical bag into the Reach Conference?

This is an adult conference so take personal responsibility to comply with state and federal regulations. Anyone for any reason may be escorted off the premises as determined by Reach Conference for any reason.

Is there a quiet space or room?

Tranquility rooms return in 2026, one for the men and one for the women.

  • No music or loud noises.
  • If you use your phone or laptop it must be quiet.
  • No taking photos or having conversations in the tranquility room.
  • If you snore, you will be woken up.
Are there going to be water stations throughout the conference space?

There are water fountains in all main buildings near the restrooms.

How do I let someone know if I need special requests for accessibility?

Let someone know at the Registration desk. However, this is an adult conference so take personal responsibility to meet your special needs. We may have wheelchairs available but it is a first come, first serve and not guaranteed.

Is there a first aid station on site?

First aid station will be at the Registration Desk. If you require more assistance than the first aid station, please dial 911. This is an adult conference, so take personal responsibility of known special needs for a three day conference with activities planned 10am to 10pm most days.

Can people turn in emergency contact forms in case anything happens?

This is an adult conference, so take personal responsibility if you need emergency contacts. Please provide the emergency contact information with someone you trust outside of the Reach Conference staff. Due to the anonymity of some attendees, we will not track this information for anyone. In case of emergency, please dial 911.

Cosplay / Costuming

Will there be cosplay/costuming at Reach Conference?

Yes, we encourage people to come dressed up in cosplay/costumes! Come as your own character, vtuber, anime character, game character, or TV show.

Is there a cosplay competition?

There are daily competitions. Please understand these are not craftsmanship competitions. This for for anyone, whether you make or buy your cosplay/costume. We want everyone to come to the stage and have fun!

If it is not a craftsmanship show, how do you judge?
  • For people that walk up via solo or groups just for posing we base it on how well you pose in character and how put together your cosplay/costume looked.
  • For skits it is based on the acting and how well your group as a whole performed and how the cosplay/costumes looked.

What is the rule on bags?

This year we institute a clear bag policy. We will have limited clear bags to provide but please plan ahead. Since we have very convenient parking, please leave items you don’t need in your car or your lodging.

Are there going to be locker rooms or coat checks available?

No.

Do I need to bring cash? Or can I use debit/ credit cards at the event?

Vendors are more than likely the may need to have cash or card. Please bring both as vendors may not accept one or the other based on outages of their payment processors.

What is the closest airport, and does ReachConf have a discounted hotel room block?

MCO (Orlando International) is the popular choice with SFB (Sanford as a backup). ReachConf has a travel partner if you click on travel on the ReachConf.org website to see what's still available.

Is there public Wi-Fi available at the venue?

Yes, stay tuned for the code at the conference. None of the conference is streamed nor is any streaming allowed inside any building. We have a zero tolerance policy and can lead to a lifetime ban from the event if you do so. Photos with permission is okay. The point of the conference is to be irl.

Are pets or service animals permitted?

No.

Is smoking or vaping allowed onsite?

No, it is a drug/alcohol/tobacco-free conference.

Where is Lost and Found located?

Go to Registration.

Can I take personal photos or record vlogs even if streaming isn't allowed?

Yes but be aware of your surroundings. Do not record video of others without their permission outside of the stage. All stage events are recorded so you can also record them like the orchestra or any gameshow.

Legal Notices, Releases, and Policy

1. Code of Conduct

ReachConf is dedicated to providing an engaging, welcoming, and safe environment for every attendee, speaker, volunteer, vendor, and staff member, regardless of background, gender, sexual orientation, disability, physical appearance, race, or religion.
  • Respect and Courtesy: We expect all participants to treat each other with grace, dignity, and respect. Unsolicited physical contact, stalking, disruptive behavior, hate speech, slurs, or harassment of any kind will not be tolerated.
  • Cosplay Is Not Consent: Always ask permission before touching an attendee, their costume, or their props, and before taking individual photographs or videos. Respect a person's boundaries if they decline.
  • Enforcement: ReachConf reserves the right, in its sole discretion, to revoke event credentials and escort any individual off the premises without a refund for violating this Code of Conduct, venue rules, or local, state, and federal laws.

2. Notice of Filming and Photography (Appearance Release)

By purchasing a ticket and entering ReachConf premises, you enter an area where photography, audio recording, and video recording may occur.

By entering the event premises, you grant ReachConf, its organizers, partners, and licensees the irrevocable, unrestricted, worldwide right and permission to record, photograph, broadcast, distribute, and otherwise use your name, voice, likeness, and appearance in any and all media, formats, and platforms—now known or hereafter devised—in perpetuity, for editorial, promotional, advertising, or archival purposes, without payment, inspection, or further compensation. If you do not agree to these terms, please refrain from entering the conference facilities.

3. Terms of Admission and Release of Liability

  • Ticket Terms: All ticket sales are final and non-refundable, except as required by applicable state law or at the sole discretion of ReachConf organizers. Badges remain the property of ReachConf and must be visibly worn at all times while on campus. Badges are revocable licenses.
  • Assumption of Risk: Attendance at an interactive conference involves inherent physical risks (including, without limitation, crowd density, flashing lights, staging equipment, transit between buildings, and exposure to airborne illnesses). By attending, you voluntarily assume all known and unknown risks associated with participation.
  • Waiver of Claims: You hereby release, waive, discharge, and hold harmless ReachConf, its organizers, host venue facilities, owners, employees, contractors, and affiliates from any and all liability, claims, demands, or causes of action arising out of negligence, personal injury, illness, death, or property loss/damage occurring during or related to your attendance.

4. Privacy Notice

ReachConf respects your privacy. When you register via Eventbrite, join our community Discord, or fill out volunteer forms, we collect necessary personal details (such as name, email address, handle, and emergency verification).
  • Data Use: We use your data strictly to process admission, communicate official conference scheduling and emergency alerts, verify credentials, and manage volunteer assignments.
  • No Third-Party Sale: ReachConf does not sell, rent, or trade your personal information to third-party data brokers or marketing lists.
  • Third-Party Platforms: Registration and payment are processed via Eventbrite, and community interaction occurs on Discord; information submitted on those platforms is also governed by their respective privacy policies.

5. Accessibility Statement

ReachConf strives to make its spaces welcoming and accessible to all attendees.
  • Physical Access: The campus facilities feature ground-level entrances, accessible doorways, and ADA-compliant restrooms. Designated viewing areas will be reserved near the front of major stage tracks for attendees using mobility devices.
  • Sensory and Quiet Spaces: For attendees who experience sensory overload, quiet Tranquility Rooms are provided on campus during operating hours.
  • Mobility Equipment: A very limited supply of wheelchairs may be available on-site on an emergency, first-come, first-served basis; attendees requiring dedicated mobility assistance are strongly encouraged to bring their own equipment.
  • Assistance: If you require specific accessibility accommodations, please visit the Registration Desk in the WC building upon arrival or contact the organizer team in advance via Discord.
